Unapproved AI Notetakers Can Record Client and Patient Calls

Free and low-cost AI notetakers can join Zoom, Teams, and similar meetings and save a full transcript. Staff sometimes add them to save time, and an outside guest can also bring one into the call. Those notes often leave your office and sit with the tool's vendor, where you may not control who can read them later.

Who is affected

Florida small and midsize offices that meet with clients online, especially healthcare practices, law firms, construction companies, and other professional services firms.

Why it matters

Everyday calls can include medical details, legal strategy, bid prices, or payment instructions. Once an AI notetaker records that conversation, a private discussion can become a file stored outside your business, which can create privacy problems with patients and clients and make it harder to know who saw the information.

Recommended actions

  • Tell staff not to add an AI notetaker to client, patient, or payment-related calls unless the firm has approved that tool in writing.
  • At the start of outside meetings, look at the participant list for unfamiliar names such as a notetaker or recording bot, and remove any that were not agreed to.
  • Before approving a tool, ask where recordings are stored, who can open them, and whether calls are used to improve the product. Skip tools that cannot give a clear answer.
  • Treat recordings of healthcare or legal calls like the records they contain: limit who can access them, and do not run them through a free personal AI account.
  • Ask your IT provider to block unknown guests and unapproved meeting apps where your video platform allows it.
