Copycat AI Assistant Downloads Can Capture Office Logins

Staff searching for popular AI chat and writing tools are landing on lookalike websites and browser add-ons that are not the real product. The copycat can look useful and may even draft a message, while asking to read email, saved passwords, or every site the browser opens. That access can copy client details and login information without a strange attachment or an obvious warning.

Who is affected

Florida healthcare practices, law firms, construction companies, and other professional offices where staff download tools themselves or use a browser for email, billing, and client portals.

Why it matters

A stolen mailbox can be used the same day to send a believable payment-change request to a client, insurer, or vendor. Patient notes, legal files, bid details, and invoices stored in webmail or cloud drives can be exposed even when the rest of the office network looks normal.

Recommended actions

  • Do not download AI chat, writing, or assistant tools from search ads, pop-ups, or email links. Ask ITNS which tools, if any, are approved and where to get them.
  • On each office browser, open the add-on list and remove any AI assistant or sidebar tool the business did not approve.
  • Do not approve a prompt that lets an AI tool read all email, all files, or every website you visit.
  • Do not create an AI account with a work email address unless the firm has a business plan and ITNS has set it up.
  • If an unknown AI app or add-on is already installed, stop using that computer for email and banking, reset the email password from a different device, and call ITNS to check the machine.
